Office Customer Service Representative – Job Description
Position Summary
Our In Person - Office Customer Service Representative is responsible for assisting customers by phone, email, and in person. This role supports daily office operations by answering questions, scheduling services, resolving concerns, and ensuring a positive customer experience.
Key Responsibilities
Answer incoming phone calls and respond to customer inquiries in a professional and friendly manner
Provide accurate information about company services, pricing, and scheduling
Schedule appointments and update customer records in the system
Handle customer concerns or complaints and work toward prompt resolution
Maintain organized files, customer records, and office documentation
Process basic paperwork such as service orders, invoices, or confirmations
Communicate with internal staff to ensure customer requests are completed
Assist with general office duties such as email correspondence, data entry, and filing
Follow up with customers to confirm satisfaction with services
Qualifications
High school diploma or equivalent required
Previous customer service or office experience preferred
Strong communication and interpersonal skills
Comfortable answering phones and interacting with customers
Basic computer skills (email, spreadsheets, scheduling software)
Strong organizational and multitasking abilities
Positive attitude and problem-solving mindset
Work Environment
Office casual setting - free parking
Standard weekday business hours (may vary depending on company needs) 9am - 5pm
